Technology and Equipment Use
The salon provides equipment, software, and technology to help you deliver excellent services and keep operations running smoothly. You are expected to use these resources responsibly, keep them in good condition, and report problems promptly.
SalonBiz - Booking and POS System
SalonBiz is the salon's system of record for appointments, client profiles, checkout, and reporting. Every employee who uses SalonBiz must follow these rules:
- Use only your own login credentials. Do not share your password or use another employee's login.
- Keep your availability and schedule current. Update SalonBiz whenever your availability changes so the front desk can book accurately.
- Log out when you step away from any shared workstation - see Confidentiality and Client Privacy
- Do not alter, delete, or backdate appointment records, transaction records, or client notes unless directed by management
- Client data in SalonBiz is confidential. Do not access client records unless you need the information to perform your job. Do not screenshot, export, or copy client data for any purpose outside of salon operations.
- If you notice an error in a booking, transaction, or client record, notify the front desk or salon manager - do not attempt to correct it yourself unless it is within your normal duties

Salon Equipment
The salon does not provide styling tools such as flat irons, curling irons, blow dryers, or shears - you are responsible for supplying your own. Salon-provided equipment includes color processing equipment, wax warmers, steamers, spa beds, hydraulic chairs, shampoo bowls, and any other tools or devices supplied by the salon.
Daily Care
- Clean and sanitize your tools and equipment after each client and at the end of each shift - see Workplace Safety for disinfection standards
- Inspect equipment before use. Do not use any tool that has a frayed cord, cracked housing, loose parts, or other visible damage.
- Turn off and unplug heat-producing equipment (flat irons, curling irons, wax warmers, steamers) when not actively in use and at the end of your shift
- Store equipment properly - cords wrapped neatly, tools in designated holders or drawers, not left on countertops or in walkways
- Keep liquids away from electrical equipment and shared workstations
Equipment Maintenance
- The EyeVac must be emptied regularly; when emptying, tap out the filter to maintain proper airflow and prevent motor damage
- All equipment maintenance issues must be reported to management promptly
Reporting Damaged or Malfunctioning Equipment
- Report any damaged, malfunctioning, or missing equipment to the salon manager immediately
- Do not continue using damaged equipment - tag it or set it aside and switch to a replacement
- Do not attempt to repair electrical equipment yourself
Personal Tools and Equipment
Some employees bring their own professional tools (shears, brushes, combs, etc.). If you use personal tools at work:
- You are responsible for maintaining and replacing your own tools
- Personal tools used on clients must meet the same sanitation and disinfection standards as salon-provided tools
- The salon is not responsible for loss, theft, or damage to personal tools left on the premises
- Lock up valuables when not in use - do not leave personal tools unattended in common areas
Company Wi-Fi
The salon provides Wi-Fi for business operations. The network name and password are available from the front desk.
Acceptable use:
- SalonBiz and other salon business applications
- Work-related communication (email, messaging)
- Brief personal use during breaks is permitted
Not permitted:
- Streaming video or music that consumes excessive bandwidth during business hours - this slows the POS and booking systems
- Downloading or accessing illegal, obscene, or inappropriate content
- Connecting personal devices that could compromise network security (e.g., devices with unknown software, file-sharing applications)
- Sharing the Wi-Fi password with clients or visitors - a separate guest network is available if offered
The salon may monitor network usage to ensure business systems perform reliably.
Front Desk Devices
The front desk computer, tablet, and card reader are shared resources used for check-in, checkout, and client communication.
- These devices are for salon business only - no personal browsing, social media, or email
- Do not install software, apps, or browser extensions on any salon device without management approval
- Do not change settings (display, network, printer, sound) without management approval
- If a device is running slowly, freezing, or displaying error messages, notify the salon manager - do not troubleshoot on your own
Passwords and Account Security
- Use a strong, unique password for your SalonBiz account - do not reuse passwords from personal accounts
- Never share your login credentials with anyone, including coworkers
- If you believe your password has been compromised, change it immediately and notify the salon manager
- SalonBiz will require you to update your password every 90 days
- If you see an account logged in that is not yours, log it out and report it
System Monitoring
Amenities Spa monitors business-related activity within the SalonBiz scheduling and point-of-sale system, including appointment records, transaction logs, product usage, and client notes. This monitoring is conducted for quality assurance, scheduling accuracy, and business integrity purposes.
- Monitoring is limited to business system activity and does not extend to employees' personal devices or accounts
- Information obtained through monitoring may be used in performance reviews and, where appropriate, disciplinary proceedings
- Issues identified through system review may result in corrective action up to and including termination
- Employees will receive written notice of any changes to monitoring practices
Unauthorized Use
The following are prohibited and may result in disciplinary action through the Progressive Discipline process:
- Using salon equipment or technology for personal business, side work, or non-salon services
- Accessing or tampering with another employee's account or records
- Installing unauthorized software on salon devices
- Using salon systems to access, store, or distribute inappropriate content
- Removing salon equipment from the premises without written permission from the salon manager
If you have questions about acceptable use of any salon technology or equipment, ask the salon manager before proceeding.
